Personal Greetings and your Recorded Name

If you have not recorded a Personal Greeting, or if your greeting is turned off, the system uses your recorded name and an automated greeting to answer your phone. When greeting is turned on, the system uses your Personal Greeting.

Names Directory

The Names Directory maintains a complete listing of all Voice mail users' names and mailbox numbers. To search for a name, use the telephone keypad. Please note that each number stands for more than one letter. For example, the number 2 can stand for A, B, or C.

Personal Assistance

If you have someone who can answer calls in your absence, you can enter that person's extension as your Personal Assistance number. When a caller reaches your mailbox, he or she is given the option to either leave a message or press 0 to speak with your personal assistant. If your personal assistant does not answer or is busy, the system will ask your caller to leave a message in your mailbox. To set a Personal Assistance extension, press 165. (For this function to work, your Personal Assistant also must have a Voice mail account.)

Auto-Copy

By setting an Auto-Copy extension, you can have the system automatically send your messages to that extension's mailbox rather than your own. When Auto-Copy is in effect, you will not be able to receive messages at your own mailbox. All messages will be sent to your Auto-Copy location instead. To set or delete an Auto-Copy number, press 164.

Distribution Lists

A Personal Distribution List is a group of frequently used mailbox numbers. When you address a message using a Personal Distribution List number, that message will be sent to everyone on that list. You can create up to nine separate Personal Distribution Lists (numbered 01 through 09). To create a Personal Distribution List, press 166.

Future Delivery

You can schedule messages to be delivered up to eleven months after their creation. These messages are stored in your mailbox and can be reviewed, changed, or deleted any time before their scheduled delivery date. To mark a message for future delivery, press 5 from the Addressing Options menu. To review existing Future Delivery messages, press 167 at the Ready prompt.

Check Messages Sent

To check on the status of messages sent to another user, at the Ready prompt press 12 followed by the recipient's mailbox number.

System Volume

To adjust the volume of system prompts and message playback, press 18 from the Ready prompt.
