Editting an Address Book Entry


Setting an Address Book Entry's general information

(Address Book View | Edit | New Address Book Entry | General)

In the Address area, select whether you would like to enter your Address Book Entry's Business or Home information. Switch between the two and enter information for each option.

In the second section, select fields from the pull-down menus. Each one applies to the field to its right, and you can enter information for more than one field. For example, you can enter a phone number for the person's assistant and another for their home. Use the pull-down list box to specify your relationship with the person. Some of these relationships are: Business Acquaintance, Co-worker, Personal friend and Supplier.

Click the Categories button to assign different categories to your Address Book Entry. Categories are used to classify Address Book Entries and can be used to filter them in the Address Book View.


Setting an Address Book Entry's business information

(Address Book View | Edit | New Address Book Entry | Business)

Enter your Address Book Entry's business-related information in this section. Enter the person's Title, the name of their Company and the Department for which they work. You can also enter such information as the person's Office, the name of their Assistant, the Industry type they work for, and their Account number.


Setting an Address Book Entry's personal information

(Address Book View | Edit | New Address Book Entry | Personal)

Use this section to record the Address Book Entry's important personal information.

Enter important dates related to this person. To set a date in the Important Dates section, select the checkbox and enter the date either by clicking the arrows at the right of the date box to scroll the date up or down or by using the Date Control. You can, for example, enter the person's birthday or anniversary. To set a date in the Custom Dates area, select the checkbox, type the name of the event in the text box and enter the date either by clicking the arrows at the right of the date box to scroll the date up or down or by using the Date Control. Use the Custom Dates to record the dates of any other important event affecting that person.

To add a Daily Note in your Agenda for one of the dates, click the New Daily Note button. A Daily Note will be created on the selected date.

To view the next occurrence of the Daily Note you created for an important or custom date, click the Search for an Entry button.

You can also enter specific information such as the person's nickname and spouse's name.

Enter additional information about the person in the Personal notes edit box. Either type text directly into the edit box or paste text from other applications. You can enter up to 30,000 characters (30K) in this field.


Setting an Address Book Entry's notes

(Address Book View | Edit | New Address Book Entry | Notes)

Use the Notes section to add other information pertaining to your Address Book Entry. You can define your own labels for recording Address Book Entry information in this section by going to Tools | Options | Address Book | User-Defined Fields. You can label these fields in whichever way best suits your needs, and can enter up to 32 characters in each of these fields.

Enter additional information about the person in the Notes edit box. Either type text directly into the edit box or paste text from other applications. You can enter up to 30,000 characters (30K) in this field.
